What should I do if an invoice is "Non-Compliant"?

When an error is detected on your invoice, it may be assigned a "Non-Compliant" status following the regulatory or business validation checks performed by SY.

This status may appear if, for example:

  • The invoice is a duplicate;
  • Mandatory legal particulars are missing or incorrect (e.g., the invoice date is later than the due date, the pre-tax amount excl. VAT is absent, etc.).

In such cases, the invoice has not been digitised and has not been forwarded to your customer. Depending on the situation, you must issue a corrective invoice or a credit note. This can be done from:

  • Your information system;
  • The portal (if the upload or email submission feature is enabled).

To help you manage invoices with errors, several features are available within the portal:

  • View the non-compliance reason from the invoice tracking screens: 
    • Click on the relevant invoice row — a History button will appear on the left. Click it to open the invoice history, which includes the non-compliance reason.
    • Hover over the "Non-Compliant" status to display an explanatory tooltip.
    • Click Manage Columns, then select Reason for rejection to add a column displaying non-compliance reasons.
  • Mark the invoice as Read to acknowledge that the error has been noted: 
    1. From the Supplier Invoices / Buyer Invoices menu, click Invoice Tracking.
    2. In the invoice list, click on the relevant invoice row.
    3. Select Mark as Read / Unread.
  • Set the status to "Non-Compliant (Resolved)" once you have issued the corrected document. This notifies your counterparty that the matter has been handled: 
    1. From the Supplier Invoices menu, click Invoice Tracking.
    2. In the invoice list, click the three-dot icon to the right of the relevant invoice row.
    3. Select Mark as Resolved. The invoice status will change from "Non-Compliant" to "Non-Compliant (Resolved)" and will no longer appear in the list of non-compliant invoices.
